Smart Quotation Generation and Management

A unified system for managing your customers, sales team, products, and quotations for all clients.

Organize products through categorization, along with cost and pricing information. Each customer can be assigned unique pricing categories, reflecting various discount levels.

Upon generating and sending a quotation to the customer in PDF format, the system streamlines the follow-up process. Each quotation undergoes a series of steps, with our intelligent follow-up engine handling the complete workflow for your sales team. This ensures that the team remains informed throughout the entire process.

 

Automated Quotation Document Generation

Quotations can be created from scratch or based on previously generated similar quotations. Supported output formats include Excel and PDF.

Before sending quotations to customers, they may undergo an approval process if the quoted amount exceeds preset limits.

Customize quotation templates by uploading Excel files featuring your company logo and other predetermined values.

Manage quotation terms dynamically and selectively incorporate them into individual quotations as needed.

 

Intelligent Follow-Up and Reminder System

Once a quotation is sent to the customer, our Smart Quotation Engine handles the follow-up process:

  1. After two weeks without an update, an automated email is sent to the customer using a predefined template, with a BCC to the relevant sales staff.
  2. If another two weeks pass without an update, a subsequent follow-up email is sent to the customer, BCC-ing both the salesperson and sales manager.

The workflow can be tailored to better align with your business requirements.

Customize follow-up templates and frequencies according to your company's needs. Empower your sales team to devise their own follow-up processes, and let the system execute the entire workflow.

 

SMS and Email Notification Integration

Essential updates are delivered to customers, sales teams, management, and administrators through both SMS and email notifications.

Keep all parties informed of critical updates, including:

  1. Quotation approval
  2. Management approval required for quotations
  3. Quotation status changes
  4. Quotation acceptance, and more

Customer and Client Management

Experience comprehensive management of customers, clients, and contacts.

Customers can have multiple default settings for clients and locations, enabling quotations to be generated with default contacts and addresses while allowing for updates.

Effortlessly retrieve a customer's quotation and duplicate similar existing quotations as new ones to expedite the quotation process.

 

Encrypted Data and PDPA Compliance

SMS_Encrypted

All connections and communications within the quotation system are secured via HTTPS.

Users are required to create strong passwords, and an auto-lockout feature is in place after several incorrect password attempts.

Contact information is encrypted at the database level to prevent data leakage in the event of a security breach.

Database and application backups are encrypted with robust passwords to ensure maximum protection.

Device-Friendly Interface

Our quotation solution is designed for seamless compatibility with desktops, tablets, and mobile devices.

Users can access all functionalities provided by the gateway solution on any device equipped with a modern browser.

No additional app installation is required, as the system operates smoothly through web browsers.
